            Mark Matusak presented the Manager’s Report:
            o Burials were up in February although still slightly under last year’s numbers.
            o The CloudPoint GIS project is coming along well and is on target for completion in the Fall..
            o There has been an early return of two “seasonal” employees to start cleanup of leaves that are remaining from last year.  Clean up was postponed until Spring because of last Fall’s inclement weather. Grounds staff build-up is tentatively scheduled for April 22.
            o The Pet Cemetery – Whispering Woods.  Mark Matusak reported that calls have been made to a number veterinarians in the area and most now have flyers in their offices explaining the services Springdale Cemetery offers.  Pet owners will have a number of options regarding burials or scatterings for their deceased pets.

· Public Comment: There were two comments by the Public: A citizen attended to restate the Goals which in essence state that the duties of the custodians of the Cemetery are to remember these Goals: Caring for families and providing compassionate services to customers and to reduce the financial burden on tax payers. Secondly, Herb Kasube, the Race Director for the IVS Half Race associated with Il. Valley Striders, addressed the Board with an update of progress. The race route has a portion that winds through Springdale Cemetery.
· Treasurer Jim Stuttle presented financials for review and discussion. Items were approved by the Board
· Mark Matusak presented the Manager’s Report
· Brian Murray has successfully completed “dual entries” for the first month of this fiscal year in preparation for the switch from AXIOM to Cloud Point to take place later this year.
· Family burial site projects continue for 3 families estate. The three separate discussions are in the process of planning and Mark is working with the families to create a project that will meet each of their needs as a family.
· It was noted that 3 SCMA Director terms will be up in June and Mark will be informing the Mayor.

11/20/2018: ​Steve Kerr chaired the meeting –
Manager Mark Matusak reported:
· Treasurer Jim Stuttle presented financials for review and discussion. The Boards was pleased with expenditures as on target for the year. The Budget Actual showed repair of equipment as higher than usual but was compensated by overage in other budget line adjustments.
· The 2019 Budget was further reviewed, discussed and approved by the Board and will be posted for public comment. The final budget will be voted on 12/18/18.
· Mark Matusak gave the Manager’s Report. Burials are still down. The Board discussed possible reasons but it is a trend for inner city cemeteries. Most burials at this date are happening in rural cemeteries. Two family estates are in the discussion process, and overall and the purchase of lots is at a good level.
· Four tours have been were given this Fall: E/P High School, Washington Gifted School, Master Gardeners and Mark Bill’s School.

7/17/2018: ​Chairman Steve Kerr, Jim Stuttle, Bob Manning, Becky Doubleday, and Pat Powers were in attendance.
Chairman Kerr has been working on the Scattering Garden project and showed the plan (in progress.)
Manager Mark Matusak was not at the meeting.

Mike Rucker, volunteer coordinator with Peoria Wilds reported on the Savanna and the "Woodlands." (The Savannah is native plants. The Woodlands is not native plants, but deer resistant and needing little maintenance.) Mike had 20 volunteers working on The Woodlands recently - there was a lot of tree-killing vines.

August 7 black-topping will begin in certain areas.
The number of burials and sales was discussed and were good.
Heritage company -established in 1820 in Peoria- has been doing "wonderful" restoration work at the cemetery for the Springdale Foundation.
Steve with "Find a Grave" has 6 people helping with Springdale (as volunteers) including photographing graves. 59,000 have been identified with 70% photographed. Monica and Jim are very impressed with his work. Jim said that geneology is the 2nd biggest hobby in the United States.
Observer Cheryl Budzinski thanked the Board for allowing the LWV to hold its Summer Social at Springdale near the stones of "The Shaft."  (Cheryl is filling in for Rick Fox.)

10/16/2018: Bob Manning chaired the meeting –
Manager Mark Matusak reported:
· Mike Ruker gave a report regarding the Prairie Gardens and his projected involvement. He also mentioned the possibility of the Peoria Chapter of the DAR becoming the “monitor” for the forthcoming planting in the cemetery area designated as the “natural area” by the Illinois Department of Natural Resources.
· Jon Hodel from CloudPoint gave an update and demonstration using the program used to map of the cemetery.
· Burials are still down – no new interments during October.
· 

8/21/2018: ​Only one representative was not in attendance.
Adam White requested permission to hold 2 segments of the Whiskey Daddle Charity Race in Springdale on Oct 6-7 (Peoria Marathon.) Since the City of Peoria requires events to pay for services needed for their events, such as security or blocking streets, the race looked for different routes. The is the same weekend as the Prairie Historic Tours, but the race will finish and be cleaned up by 12:30, there wasn't a conflict and permission was granted.  This is considered a good collaboration.
Manager Matusak described the City's pilot program test project to grind the cemetery road with asphalt shingles and other stuff and then seal the mixture. The city has also done some much needed grading, patching, and added riprap to some unstable road shoulders.

Steve Kerr chaired the meeting –
· Treasurer Jim Stuttle presented financials for review and discussion.
· 2019 Budget – Motion was made to close to public comment and approved. A Motion was then made to approve the 2019 Budget. Approval was unanimous.
· Mark Matusak attended the Peoria City Council Meeting on 11/27/18. There was no funding level adjustment. He stated that he felt there was confusion by some members not understanding the City of Peoria owns Springdale Cemetery which makes a difference in perception regarding funding. There was agreement that there would be an effort to educate and dispel this perception.

May 16, 2017 - The annual audit report was reviewed with nothing extraordinary of note.

• The manager reports improved sales volume & inquiries for lots with a very slow start this year, with remarkable progress recently. 
• He reported serious erosion issues as the result of recent rain events. The City of Peoria has help evaluate storm drains and staff has indicated the need to re-engineer many on the site. 

​June 20, 2017 -  The manager reported that the “Records Preservation” project is behind desired plan. The mausoleum crypt project is working to mark vacant crypts to make sales easier. Previously planned staff employment reviews and wage adjustments were recently completed. Overdue accounts amount to $6,300 and work is underway to address them appropriately.
The manager is proposing August 4 for dedication of the new entrance. The City of Peoria spent 40 or 50 hours doing drainage investigation; the manager sent a list of related priorities he feels he needs help from City to the public works director.
